Aversan Inc. We are currently seeking a qualified Administrative Assistant to work on leading-edge technology products. The successful candidate for this full-time position will be a part of a highly motivated and highly technical work environment that feeds off the collective energy of a team-oriented workplace.
 
Location: Toronto, ON
Schedule: HYBRID (2 days a week in office) Tuesdays and Thursdays. 


Description
Admin Assistant provides support to the departments' daily operations by handling tasks, including but not limited to managing schedules, organizing files, handling correspondence, facilitating communication between team members, preparing reports, presentations, organizing events and managing office supplies. Admin Assistant contributes to the efficiency of the office environment through administrative and clerical duties.
 
Responsibilities.
  • Provide day to day administrative support to their respective department/s to ensure effective and smooth operation. 
  • Responsible for handling tasks including but not limited to calendar & meeting mgt., event mgt., travel & expense mgt., procurement & logistics mgt. including invoicing, data management, office supplies requests, communication, etc.)
  • Provide onboarding (new hires) related duties: arranging desk (DOJ), requesting IT equipment & accessories, access to building & other portal access, communicating DOJ, providing admin-level briefing/training (e.g., desk booking tools, dept. repository, key portals, etc.) and providing building familiarization tour and introduction.
  • Support client interface mgt. and events such as customer visit and other requirements
  • Perform ad-hoc tasks and special assignments as required
  • Provide additional office mgt. tasks as per floor allocation: overseeing meeting rooms and printing areas, report and communicate issues and assist in resolving issues, etc.
  • Provide back-up/delegation support to another admin

Basic Qualifications & Skills
  • Bachelor’s or associate degree in the fields of office administration, business administration or related area
  • Proficiency in MS tools/application
  • Strong organizational and communication skills (written and verbal)
  • Strong interpersonal skills
  • SAP background *plus
  • Communications, organizational skills, time management
  • Attention to detail and ability to handle multiple tasks and work pressure
  • Problem-solving skills for addressing travel-related issues  
  • Preferably with friendly and positive personality
